About the Role
The JBS Northern Shipping & Docs team is currently seeking a passionate administrator to join the hard-working team as a Documentation Officer. Based at our Northern head office in Riverview, Ipswich, and reporting to the Documentation Manager, your key responsibilities will include:
- Accurately completing all shipping documentation for the markets/vessels. Documentation includes (but is not limited to):
> Preparing forwarding instructions and obtain original Bills of Lading;
> Obtaining health certificate;
> Preparing invoices, packing list;
> Preparing Certificates of Origin;
> Banking Drafts and Lodgements;
> Letters of Credit; and
> Printing Bills of Lading for those shipping lines that we print in-house.
- Accurately completing any other required documents due to customer or country requirements
- Writing up ship files as allocated by the Documentation Supervisor
- Monitoring vessel ETD’s
- Emailing completed documents to customers and organising lodgement
- Ensuring files are completed and archived within 14 days of sailing
- Other ad hoc duties as directed by the Documentation Manager
About You
- Previous experience in a documentation and/or shipping role advantageous
- Ability to identify basic cause & effect relationships
- Strong computer literacy skills including excel, word and outlook
- Ability to respond calmly in difficult situations maintaining a strong customer service focus
- Exceptional ability to prioritise and multi-task
- Excellent attention to detail
- Ability to work in a fast-paced environment
- Demonstrated ability to work autonomously and within a team environment
- Takes other's perspective's into consideration
- Energetic, passionate and enthusiastic with a demonstrated focus on system improvement
